About You

You will be responsible for supporting the sales and handover process by handling dealer collection, verifying payments, and ensuring accurate documentation before the release of vehicles. You will need to liaise with external parties including dealers and finance teams as well as coordinate with internal stakeholders to complete the process smoothly. Your direct report would be the designated Branch Operations or Assistant Managers.

Your Day-to-Day

Dealer Collection & Verification

  • Attend to dealers according to the numbering system.

  • Verify car status in the Transaction Center (TC) to ensure car plate number and dealer name are correct.

  • Check payment details to confirm if the transaction is under pending collection or pending payment before proceeding.

Payment & Documentation

  • Key in payment, DRP, or waiver for pending transactions and liaise with Finance for payment verification.

  • Generate ODO once payment is fully cleared and ensure all documents are signed before releasing the car.

  • Input trailer fees and parking fees accurately before closing the sale.

  • Compile all required documents (Authorization Letter, IC, ODO, Official Receipt if any payment, and QC Form) before uploading.

System & Inventory Updates

  • Scan sales via CarTracker to update and change inventory status once the car has been collected.

  • Ensure all cancelled cars have their documents voided properly.

Your Know-How

  • Qualification in SPM / Diploma / Degree (in any discipline).

  • Minimum 1–2 years of experience in administration, automotive, or related fields.

  • Strong attention to detail with ability to verify payments and documents accurately.

  • Good communication and coordination skills with both internal teams and external dealers.

  • Ability to multitask and work under minimal supervision.

  • Basic computer knowledge (Microsoft Office, system updates).

  • A valid driving license will be an added advantage.
