About You
We are looking for a dedicated, independent, meticulous, and accountable Regional Executive Administrative
Officer to provide high-quality administrative support to the Chief Business Office, including Public Affairs,
Legal, and Corporate Secretary functions. This role is based primarily in Malaysia and involves supporting
regional operations across Southeast Asia.
Your Day-to-Day
● Provide comprehensive administrative and coordination support to the Chief Business Office and
related functions.
● Manage calendars, schedule meetings, coordinate travel arrangements, and prepare meeting materials
for internal and external stakeholders.
● Organize and support key meetings, including drafting agendas, taking minutes, and following up on action items.
● Prepare, review, and format reports, presentations, and official correspondence with high attention to detail.
● Maintain accurate and organized filing systems for legal and corporate documents, ensuring compliance with internal standards and regulatory requirements.
● Manage trackers and logs for documents, approvals, tasks, and deadlines to ensure timely follow-ups and accountability.
● Oversee and coordinate the document signing process, including circulation for approval, internal endorsement, and external execution.
● Act as a point of contact for regional coordination, liaising with cross-functional teams across different markets.
● Handle sensitive and confidential information with discretion and professionalism
● Proactively identify and resolve administrative issues to support the smooth functioning of the department.
● Perform other administrative tasks and special projects as required.
Your Know-How
● Proven experience in an executive administrative or corporate support role, preferably in a regional or multinational environment.
● Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
● Excellent written and verbal communication skills in English; additional regional language proficiency is an advantage.
● Proficient in Microsoft Office Suite and collaboration tools (e.g., Outlook, Teams, SharePoint) as well as Google Workspace (e.g., Gmail, Calendar, Docs, Sheets, Drive).
● Highly dedicated, independent, meticulous, and accountable, with a strong sense of responsibility and integrity.
● Ability to work both autonomously and collaboratively in a fast-paced, dynamic setting.
